For heating and cooling companies

AI receptionist for HVAC companies

The first cold night of the year, everyone calls at once. ComputerPro answers every one of them, sorts “no heat with kids at home” from “annual tune-up,” and keeps your techs on the job instead of on the phone.

The calls you get

It already knows the work.

We set it up with your services, your hours and your area, so it can tell a routine call from the one that can’t wait.

  • No heat or no cooling
  • Furnace and AC tune-ups
  • Replacement estimates
  • Thermostat, ductwork and air quality questions

Your rules

You decide what rings your cell.

Everything else is captured as a job and waiting for you. Common choices for heating and cooling companies:

  • No heat in freezing weather
  • Gas smell (callers are told to leave and call the gas utility first)
  • Carbon monoxide alarm

Every job it files includes:

  • Caller name
  • Callback number
  • Service address
  • What they need, in their words
  • Equipment type and age if known
  • Anyone vulnerable in the home

  1. Receptionist: Thanks for calling. What’s going on with your system?
  2. Caller: Furnace quit and it’s getting cold in here.
  3. Receptionist: I’m sorry. Is anyone in the home elderly, very young, or unwell?
  4. Caller: My mom, she’s 82.
  5. Receptionist: Thank you. I’m flagging this as urgent. What’s the address?

Questions

HVAC: common questions.

Something we didn’t cover? Ask on the demo form or call.

What does it do if a caller smells gas?

Safety first, in words you approve: it tells the caller to leave the building and call the gas utility or 911, then takes their details for you. It never tries to troubleshoot a gas leak.

Can it book maintenance visits?

If you schedule on a supported calendar, it can book into real open slots. If you dispatch differently, it captures the request and gets it to you.

Can it handle a rush of calls on the first cold night?

Yes. It answers multiple calls at the same time, so nobody hits voicemail just because the line is busy.
